Switchouse CRM and Google Gmail

Switchouse CRM offers an optional connection to the designated Switchouse business mailbox. Only an authorised CRM operator can start the connection, and the mailbox owner must grant access through Google. Website visitors and customers are not asked to connect their personal mailboxes.

Access and purpose

The connection requests Google's read-only Gmail permission (gmail.readonly). That permission technically permits reading email messages and settings. Our integration uses the mailbox address, message identifiers, timestamps, labels, change-history identifiers and the From and Auto-Submitted headers to detect replies and automatic replies and prevent inappropriate follow-up emails. Change-history reconciliation can inspect these metadata fields for other changed messages in the connected mailbox. Reply checks include archived messages, spam and trash so that a reply is not missed. The integration does not request message bodies or attachments, and does not send, change, label or delete messages through Gmail.

Storage and service providers

The connection runs on Vercel and uses our Neon database. The durable Google authorisation grant is encrypted by the application before database storage; its encryption key is kept separately in server-side configuration. Temporary OAuth connection records expire. Message metadata and synchronisation cursors are processed in server memory. When a reply affects a follow-up, the CRM stores a limited event record containing the message identifier, mailbox identifier, contact email address, event time and reply type, together with the resulting follow-up audit record. We do not store Gmail message bodies or attachments through this integration.

These providers process data to operate the CRM. Gmail data is not sold, used for advertising, supplied to data brokers or used to train general-purpose AI models. Human access to Google-derived data is limited to specific access authorised by the user, security investigations or legal requirements. We do not transfer Gmail message content to our outbound email provider; separately enabled outgoing CRM emails use the CRM's own contact and document records.

Disconnecting, retention and deletion

The mailbox owner can revoke Switchouse CRM access in their Google Account's third-party connections settings. Revocation stops further authorised access but does not itself erase previously stored CRM records. Contact info@switchouse.ai to request disconnection and deletion of the stored grant and Google-derived records. Persistent connection and reply-event records currently have no automatic age-based deletion schedule; removal is handled by an authorised operator. Records that must be retained for security or legal obligations may be retained for that purpose. Backup copies may remain until the applicable backup retention period expires and are not used for ongoing reply checks. Disconnection or an unavailable mailbox check prevents the automatic follow-up system from treating reply coverage as complete.

Switchouse CRM's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Using this website

Interactive examples use fictional project data and run in your browser. The website is hosted on Vercel, which processes technical request information to deliver and protect the service.

Optional analytics

With your permission, we use Google Analytics 4 to understand visits, campaign sources, interest in our products and actions such as starting or submitting a project brief, or opening WhatsApp. Google receives technical information such as your browser and device type, approximate location, page visits and the permitted actions you take. Analytics cookies help distinguish visits and returning browsers.

We do not load Google Analytics or send analytics data until you accept. You can reject analytics and use the entire website normally. We do not enable advertising personalization or Google signals.

We do not send your project or company name, contact details, notes, or WhatsApp message text in analytics events. A WhatsApp event records an attempted handoff, not a message sent, a received enquiry or a booked meeting.

Your analytics preference is saved in this browser for six months. You can change or withdraw permission at any time using in the footer. Withdrawal stops future collection and removes this site's Google Analytics cookies from this browser; it does not erase information already processed by Google.

Your project details

The Real Estate Sales Recruitment form saves your contact details and any hiring information you provide, including company type, role, market and requirements, in our private client workspace so we can respond by email or phone. WhatsApp is an optional alternative.

When you choose “Send request” on our enquiry forms, your name, company or project name, email, phone number, selected products and any comments are saved in our private client workspace so we can respond and manage your enquiry. This workspace uses Vercel hosting and a Neon database. If you accept analytics, permitted campaign labels may also accompany your request. Your contact details and comments are never sent to Google Analytics. Only authorised staff can access requests. Contact info@switchouse.ai to request correction or deletion of your information, subject to records we need to retain for contractual or accounting purposes.

Contacting Switchouse

WhatsApp links open an external messaging service. Email links open your email application. Information you share through those services is handled under their privacy policies. If an external booking link is provided, the scheduling provider handles the information you submit there.
